Controls Menu

Access to the control panel is limited to Administrators only. Administrative users are able to configure display of screens and the information displayed on reports. The configurations selected by administrators affect all other modules from the numbering convention used for assigning Accession numbers to the number of loanable items, fine amounts and general OPAC searching/reservation rights.

Catalogue Controls
Administrative settings for the configuration of the Catalogue module. These include the setup of Accession number naming conventions, definition of GMD and Sub GMD groups, loan Status classifications and multiple site identification.

GMD:
GMD represents a short 2 character code that references the rest of the GMD information. This code is stored with the catalogue record data and is used to identify which data fields are associated with that GMD. The description is used for all forms and reporting functions. Selection of Activation (Enabled/Disabled) will nominate the selected GMD to appear on forms and reports. If a GMD is disabled, users will not be able to view the GMD from the cataloguing module.

Index specifies whether the GMD will be made available for OPAC indexing eg. items can be hidden from searching and only accessible by Accession Number.

If Multivolume is set, this allows additional copy information to be added that includes fields for periodical/multiple volume items eg. alternate title, issue frequency, volume number etc.

Images can be associated with items for display on user searches.

Update/Delete will either update the settings for the GMD or delete the specified GMD.

Sub GMD:
Associated sub-groups belonging to a pre-defined GMD.

Fields: Administrative users can add new database fields and change the attributes of existing fields using this screen. Case (upper/lower), indexing for access via searching, eg adding a new GMD such as date, would require the addition of day, month, year fields that are not currently associated with the existing GMDs. After adding new fields to the database the user will need to contact LMSi (support@lmsi.com.au) so that the database association with the new field can be established.

Control Parameters: When a new copy is created, the default site code is used, a user may over-ride this by selecting an alternate code from the pick-list.

Copy Status Details: Available, Borrowed, Reserved and Missing are mandatory status values. Users are advised that alterations to the code of any of these Fields should be discouraged because LMSi data already exists with these codes. Users are able to alter the description of these status values. Users are able to add further status values, edit text and select whether to update or delete the individual codes and click Process to execute.

Circulation Controls
Administrative settings for the configuration of the Circulation module. These include the setup of patron groups and reservation restrictions.

Patron Departments: Departments are used for categorising patrons. N A is used as a default for patrons that are not able to be categorised within the specified Departments. Type a Code (maximum of 2 characters), Insert a Description, select either Update or Delete for each code and click Process to update the database or Print Screen to print the current settings. *Please note, hitting Print Screen will not save any codes that have been altered.

Patron Groups: Groups is a secondary method of categorising patrons. N A is used as a default for patrons that are not able to be categorised within the specified Groups. Type a Code (maximum of 2 characters), Insert a Description, select either Update or Delete for each code and click Process to update the database or Print Screen to print the current settings.
