Users are able to execute specific functions to maintain circulation data. In order to enhance database performance, it is recommended that administrators delete unwanted periods of data regularly.
Delete Patron’s Overdue History: Every time a patron receives an overdue
notice, it is recorded by LMSi. This information will continue to accumulate and
increase the size of the library’s database until this process is run. Once the
process has been run, the information will be permanently removed from the
database.
Step 1: Select Patron Code range (leave first blank and last zzzzzzz to
select all patrons). Click the search button to select a specific Patron code.
Step 2: Enter Notice Date. All overdue history from this date and prior
will be removed.
Step 3: Click Process to delete overdue history.
Delete Reservation Entries: Reservations can be removed from specific items either individually by Accession Number or using the bulk option. Enter Accession number and Click OK. Click Search to identify a specific item and click the Select button once the required item appears.
Delete Reservation Entries (Bulk): Reservations can using the bulk option from a specified number of days prior to the current date. Insert the number of days and select to Print Report, Preview or Delete Data, then click Process.
Delete Available Reservations Queue: the reservations available queue contains references to items waiting to be collected by patrons. By executing this process, entries in this queue will be deleted. Parameters specified in the Control Panel (Controls > Circulation Controls > Control Parameters) identify the retention period and the number of retention notices. Click Process to delete records, press Print Screen to view the records to be deleted.
Delete Circulation History: Every circulation record (minimum of 2 per book - Issue & Return) is maintained for the purpose of statistical analysis. In order to enhance database performance, it is recommended that administrators delete unwanted periods of data regularly. Parameters specified in the Control Panel (Controls > Circulation Controls > Control Parameters). Click Process to remove all Circulation records that are older than the specified Days to Retain Circulation Records period.
Update Patrons’ Dept/Group/Type: ability to take an existing code and bulk update Patrons from one code to another eg. if a school had classified some of its patrons as Yr.5 students, these could be updated as a group to Yr.6 students for the start of the new year. For the specified Old Department, Group or Type, select the new Department, Group or Type from the drop-down list and click Process, Undo or Print Screen. The Undo function will revert all Departments, Groups or Types that were last changed by clicking Process, to their previous setting eg. if all Yr. 11 students were updated to the Yr. 12 group and that group was mistakenly combined, clicking undo would classify the students in the Yr. 11 group to their original list. A user is able to execute the Undo function immediately, or any time after to revert to the previous settings. The previous settings are retained indefinitely.
Bulk Patron Delete: Deletion of a group of patrons classifiable by
Department, Group and Type eg. a school may use this function to delete all
Yr.12 students at the end of the school year on the proviso that all outstanding
items have been returned.
Step 1: Select Patron Code range (leave first blank and last
zzzzzzz to select all patrons). Click the search button to select a specific
Patron code.
Step 2: Select Department range from drop-down list.
Step 3: Select Group range from drop-down list.
Step 4: Select Patron Type range from drop-down list.
Step 5: Check the box for Only Process Membership to select only
patrons whose membership has already expired.
Step 6: Click Process to delete Patrons.
Update Patrons’ Items Allowed: This information is initially controlled using the Loan Parameters option. Using this option, an absolute override for the total number of items allowed to be issued can be set at the patron level (a default value of 0 indicates that there has not been an override value set). This value can be updated in bulk using this process.
