Generating a stock take enables a user to compare stock on the shelves with items in the lmsi database. By utilising a bar-code reader, users are able to account for all stock present on shelves and update this to a temporary file within the database. The database then analyses the data and reports discrepancies.
Clear Stocktake files: clears previous stock take values (barcodes) from temporary file. Select YES and click Process. Once the files have been cleared, a message box will appear confirming that “Files have been cleared!”. Click Quit to return to the previous screen.
Read Stocktake Entries: reads barcode entries from shelf for stocktake. The user has 3 options for entering this data:
Option 1: Scan each barcode.
Option 2: If using barcodes without a scanner, type the first barcode
number, then hit enter, type the second barcode number, then hit enter and
repeat for all barcode numbers.
Option 3: If barcodes are not being used, accession number “space” copy
number (ie. use the spacebar, do not type space), then hit enter and type the
second accession number copy number. eg.

Validate Stocktake Data: Process to compare barcode entries with database
records.
The following reports can be printed or previewed from this menu:
- Print an exceptions report containing bad barcodes
- Delete incorrect or invalid barcode entries from the stock file data
Print Missing Items List: This report will provide a list of discrepancies between database and shelf items. The following criteria can be set for generating this report:
Once the criteria for the report has been set, the user can select to Preview the report on the screen, or selecting Process will send the report directly to the default local Printer. If the Preview option has been selected, the report can be viewed, then the screen may be printed.
